Informal Letter

 

a.      The committee also agrees to informal, unofficial comments that are communicated to the candidate in writing.

b.      These informal letters are written by the committee member who drafts the evaluation narrative and are approved by the entire committee.

c.      The informal comments deal with the format and organization of the file rather than with the evaluation of the applicant's performance in primary duties, scholarly/professional activities, and university/community service.

d.      The letter is given to the candidate by the Chair, signed by the candidate, and returned to the DPC.

e.      The letter is not included in the “Summary Evaluation” and not forwarded with the application folders.

                  f.   This process is intended to ensure that unofficial comments from the committee are communicated to the                           candidate in an accurate and timely manner.

                 g.   Once the committee verifes that the candidate has seen the letter, the PDC chair destroys the letter.
